Full-Time Receptionist / Administrative Assistant (Remote) At Royal Caribbean International

We are seeking a highly organized, proactive, and tech-savvy Remote Receptionist / Administrative Assistant to be the first point of contact for our company and provide essential support to our team. This role is crucial for maintaining smooth day-to-day operations, ensuring professional communication, and handling a variety of administrative tasks with efficiency and a positive attitude. The ideal candidate is a self-starter who excels in a remote setting and is passionate about providing exceptional support.

Key Responsibilities

  • Serve as the primary point of contact for all incoming communication via phone, email, and live chat, providing a friendly and professional first impression.
  • Manage a multi-line phone system (e.g., RingCentral, Grasshopper, Zoom Phone) to answer, screen, and forward calls promptly and accurately.
  • Direct inquiries to the appropriate team members and manage the company’s general info email inbox.
  • Schedule and coordinate appointments, meetings, and conference calls using calendar management tools (Google Calendar, Outlook).

Administrative Support:

  • Perform data entry, update databases (e.g., CRM like Salesforce or HubSpot), and maintain digital filing systems.
  • Prepare, edit, and format documents, reports, presentations, and spreadsheets (Microsoft Office Suite or Google Workspace).
  • Assist with travel arrangements and expense report processing for team members.
  • Support project-based work with research, documentation, and coordination.

Operational Coordination:

  • Help coordinate virtual company meetings, events, and team-building activities.
  • Order office supplies and manage vendor relationships as needed.
  • Assist with basic bookkeeping tasks using software like QuickBooks (if applicable).

Qualifications & Skills:

Required

  • Must be a current resident of the United States and a U.S. Citizen or lawful permanent resident (Green Card holder) authorized to work for any employer in the U.S.
  • Minimum of 1-2 years of experience in a receptionist, administrative assistant, or customer service role.
  • Proven experience working remotely or in a highly independent environment.
  • Exceptional verbal and written communication skills.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace (Docs, Sheets, Slides, Gmail).
  • Experience with cloud-based phone systems and video conferencing platforms (Zoom, Microsoft Teams).
  • High-speed internet connection and a dedicated, quiet home office workspace.
