The Business Support Officer will play a central role in supporting the effective running of a small but high-impact national charity. The primary focus of this role is providing high-quality administrative support to the Chief Executive and wider team. The postholder will also support basic financial processes and coordinate aspects of membership coordination.
You’ll be working in a busy environment where the work is varied, so you’ll need to be flexible and have a proactive approach to problem solving with good organisational and excellent IT skills. You’ll be the first point of contact for people who need help with a wide range of tasks and will support with admin tasks like assisting with the organisation of meetings/events, coordinating a variety of project work, database administration, and minute-taking.
This is a varied role ideal for someone with strong organisational and interpersonal skills who enjoys working in a collaborative and fast-paced environment. You’ll be at the heart of the organisation, helping everything run smoothly and professionally.
Hours – Full-time, Permanent
Location – Home-based (with occasional travel.) Applicants based in England or Wales only.
Leave – 25 days annual leave and public holidays (+ Birthday leave and 2 wellbeing days)
Salary – £32,000 (+ pension contribution)
There will be a 2-months probationary period.
Job Description
- General administrative and governance support e.g. diary management, organise meetings, board papers, etc.
- Coordinate logistics for governance meetings and staff events, supporting preparation and documentation
- Prepare agendas, take minutes, and handle post-meeting follow-ups including document formatting and distribution
- Ensure records, databases, and filing systems are accurate, up to date, and well-maintained
- Liaise with internal and external contacts including members, responding to enquiries in a timely and professional manner
- Support membership coordination including administration of networks and engagement
- Undertake day-to-day financial processes e.g. credit control, payroll, basic reconciliations, preparing monthly reports
- Maintain oversight of organisational deadlines (e.g. audit, insurance, annual filings)
- Work with the CEO to ensure internal policies, systems, and procedures are up-to-date and effective
Person Specification
- Knowledge of and experience in working in the voluntary and community sector; passionate about mental health policy and delivery
- Proven extensive administrative and finance experience (minimum 2 years) (essential)
- Experience of using MS Office, WordPress, QuickBooks and Benpal (essential)|
- Track record of making efficiencies within administrative process and operations; demonstrable critical thinking to supportively challenge current systems/processes
- Experience of maintaining records in a concise and clear manner
- Professional and proactive, with a strong work ethic
- Attention to detail, with strong proof-reading, written, and verbal communication experience
- Ability to work collaboratively with the team and with external partners
- Organised approach to work, ability to work under own initiative and meet tight deadlines
